Oath or Solemn Affirmation or Declaration

This is where the person signing the documents swears or solemnly declares in front of an Ontario Notary Public that they have read the document and that its contents are true and correct.

Steps to get your document sworn or solemnly declared before an Ontario Notary Public :

  1. The person swearing or solemnly declaring the document must appear before the Ontario Notary Public (in person or virtually) with valid photo identification (i.e. government issued identification, such as a valid driver’s licence or passport)
  2. Once the Ontario Notary Public has verified the person’s identity, they will ask them to read the document and swear or solemnly declare that they have read the document and affirm that the contents are true and correct. Generally, the Notary Public does not need to nor, will they read the document. The Notary Public does not give any legal advice on the contents of the document.
  3. The person will then sign the document in front of the Notary Public. The Notary Public will sign the document, confirming that it was sworn or solemnly declared before them by the Person who signed it and affix its notary public seal on the document.

Keep in mind – It is very important that the document is not signed prior to meeting with the Notary Public (the rest can be filled out) and that the Person who needs to sign the document is the one that appears before the Notary Public.

Certified or Notarized Copy

This is where a Notary Public certifies or notarizes that a copy of a document is a true and accurate copy of the original document shown to them.

In order for the Notary Public to certify or notarize the document as a true and accurate copy of the original, they must be provided with the original document and compare it with the copy to ensure that the copy is a true and accurate copy of the original document. Once satisfied that the document is a true and accurate copy of the original document, the Notary Public will sign the copy and affix the Notary Public seal on the document to certify it as a true copy.

Keep in mind – A Notary Public cannot certify a copy of a copy. Anyone can provide the original document to the Notary Public. Documents can also be certified by mail or courier by sending the ordinal document to the Notary Public. Please note, the Notary Public cannot be held responsible for any original documents lost. A Notary Public cannot certify documents virtually.

US Notary Services

We Provide United States notarization services and our Ontario Notary Public has notarized many documents required in the United States.

Our Notary Public is registered with the United States of America Consulate in Toronto as a Notary Public for authentication purposes. We encourage you to provide our information to the third party requiring the notarization to ensure that they will accept our notarization as our Notary Public seal will say “Ontario”. Please contact our office if you require us to send you a confirmation of our registration with the U.S. Consulate.

Travel Consent Letters


A Notary Public can notarize a consent to travel letter that is often required when one parent travels with a child outside of Canada without the other parent.

    Please note that Canada does not apposlie documents. In Canada, “Legalization of documents” may be considered the equivalent of an “Apostille Certificate”. Legalization of Documents adds an extra layer of authentication to the documents notarized by an Ontario Notary Public. Legalization is a time consuming process and is not always required. We recommend that you confirm with the third party requiring the notarization if they also require the documents to be “Legalized”.


    “Legalization” is a three-step process.

    Step One – Notarization.

    Is where you get your documents notarized by a Notary Public. The Notary Public will affix their notary seal to the document (which will then be authenticated in step 2 below)

    Step Two – Authentication.

    Is where you take the notarized documents to the Official Documents Services office in Toronto, or send them to Global Affairs in Ottawa. During this step, the Notary Public signature and seal affixed to the Notarized document will be compared to the signature and seal on file with the Official Documents Services.

    Step Three – Legalization.

    The final step is where your notarized documents are taken to the relevant embassy or consulate of the country in which the document is to be used, who will verify the authenticity of the stamp or certificate issued in step two above. Please note that each Embassy has its own policies and procedures.
